The Situation

Springfield Auto Group runs 14 dealerships across three states. Good inventory, strong service teams, loyal customer base. Their problem wasn't what happened on the lot — it was what happened after the lot closed.

Between 6pm and 9am, their phones went dark. Inquiry forms sat unanswered. Website visitors bounced. The general manager, Dale Hutchins, put it plainly in our first call: "We know we're losing deals. We just can't afford to staff the phones overnight."

The Problem

Springfield was running a basic contact form on each dealership's website. No live chat. No AI. Just a form that dumped into an email inbox nobody monitored until 8am the next day.

The average auto buyer submits inquiries to 2–3 dealerships at once. First response wins most of the time. Springfield was consistently third — or not showing up at all.

The specific problems we needed to solve:

  • No response capability outside business hours
  • No way to qualify leads before routing to a sales rep
  • No inventory awareness — customers asking "do you have the 2024 Tahoe in silver?" got radio silence
  • No scheduling system — test drives were booked by phone only

The Plan

We designed a three-layer AI system:

Layer 1: Intelligent Chat — A custom AI assistant with full knowledge of each dealership's inventory, pricing tiers, current promotions, and frequently asked questions. Live on the website as a floating widget.

Layer 2: Lead Qualification — The AI doesn't just answer questions, it qualifies. It learns trade-in status, financing interest, timeline to purchase, and preferred contact method. All of this routes into their CRM automatically.

Layer 3: Schedule & Handoff — The AI can book test drives directly into the sales team's calendar. When a lead scores high enough, it notifies the sales rep via text in real time so they can jump in if they're available.

The Build

The system runs on a custom AI backbone with a real-time inventory sync connected to Springfield's DMS (Dealer Management System). Inventory updates every 15 minutes.

We built a lightweight chat widget that matches each dealership's brand colors and deploys via a single script tag — no changes needed to their existing websites beyond pasting in one line of code.

The CRM integration used Springfield's existing system via API. Leads land in the right rep's pipeline with a full conversation transcript and a qualification score.

We trained the AI on six months of past sales conversations to calibrate tone and handling for common objections ("I'm just browsing," "I need to check with my spouse," "What's your best price?").

The whole system was live in 11 days.

The Results

At 30 days, lead volume was up. At 60 days, close rate from AI-initiated conversations was trending 18% higher than form submissions (qualified leads convert better).

At 90 days, Springfield had captured 40% more total leads than the same period the prior year. The after-hours window, previously dead air, now accounts for 31% of monthly new leads.

Dale's team didn't hire a single additional person.
